Fast Products Distribution Ltd ("we", "us", "our") is committed to protecting the privacy and security of personal data. This policy explains how we collect, process, store, use, share and dispose of data — including data obtained from Amazon — when we fulfil and ship customer orders. We are the data controller for the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018).
1. What data we collect
When you place an order through Amazon, we receive order information from Amazon, which may include:
● Buyer name
● Shipping address
● Order ID, product (SKU/ASIN) and quantity
● Order and dispatch status
We obtain this data directly from Amazon's Selling Partner API. We do not collect Amazon order data from any other external source.
2. How we use the data (processing)
We process this data for one purpose only: to fulfil and ship the buyer's own order. Specifically, we use it to:
● Generate warehouse pick lists so the correct items are picked and packed
● Purchase postage and generate shipping labels through Amazon's Buy Shipping service
● Confirm dispatch back to Amazon
We do not use buyer personal data for marketing or any unrelated purpose.
3. Lawful basis
Our lawful basis for processing this data is the performance of the contract to supply and deliver the buyer's order, and our legitimate interest in operating our business efficiently and accurately.
4. How we store and protect the data
● Amazon data is stored securely and encrypted at rest (AES-256).
● Access credentials and encryption keys are held in a protected secrets store, separate from the database and application code.
● Our database is not publicly accessible; access is restricted to our application server.
● Access is limited to authorised staff on a need-to-know basis, each with an individual named login.
● We keep audit logs of access and key actions and review them regularly.
5. Who we share data with
We do not sell, rent, or share buyer personal data with third parties for their own purposes. Data is shared only as strictly necessary to deliver the order — for example, with Amazon's shipping service and the carrier appointed to deliver the parcel — and with authorities where required by law.
6. How long we keep the data (disposal)
We retain buyer personal data only as long as necessary to fulfil the order and meet our legal obligations. Buyer personal data (name and shipping address) is deleted within 31 days of order delivery. Non-personal records (such as anonymised order/SKU totals) may be kept longer for accounting and business analysis.
7. International transfers
Where data is processed or stored outside the UK, we ensure appropriate safeguards are in place in line with UK data protection law.
8. Your rights
Under UK GDPR you have the right to access, correct, or request deletion of your personal data, to object to or restrict processing, and to data portability. To exercise these rights, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
9. Data breaches
We maintain an incident response plan. In the event of a personal data breach that poses a risk to individuals, we will notify the ICO within 72 hours of becoming aware, and affected individuals where required.
